Terms of Service

These terms govern the provision of inventory, check-in, mid-term inspection and check-out reporting services by Hamilton Property Inventory Group, and your use of this website.

Our service

We produce independent, photographic condition reports for residential and commercial tenancies. Our role is to record the condition of a property and its contents at a point in time, accurately and impartially. We act for neither the landlord nor the tenant in any dispute, and our independence is what gives the report its evidential value.

Booking and access

A booking is confirmed once we have accepted it in writing and agreed an appointment time. You are responsible for ensuring the clerk has access to the property at the agreed time, including keys, alarm codes and parking arrangements where needed. If the clerk cannot gain access, or the property is not in a state that allows the report to be completed, we may charge an abortive visit fee.

Fees and payment

Fees are as published on our pricing page or as quoted in writing for non-standard instructions. Unless otherwise agreed, invoices are payable within fourteen days of the report being delivered. We reserve the right to revise published fees; the fee applicable to a booking is the one in force when the booking is confirmed.

Cancellation

Appointments cancelled with more than twenty-four hours' notice are not charged. Cancellations inside twenty-four hours, and appointments where access is not available on arrival, may be charged at up to the full fee to cover the clerk's allocated time and travel.

Turnaround and delivery

We aim to deliver completed reports within three hours of the appointment. This is a target based on typical conditions, not a contractual guarantee; unusually large properties, poor connectivity or access delays can extend it. Reports are delivered electronically to the instructing party.

Scope and limitations

An inventory report is a visual record of condition and contents. It is not a survey, a valuation, an inspection of structure, or a test of appliances, services, gas, electrical or heating systems. We do not move heavy furniture, lift fitted floor coverings, or inspect areas that are locked, obstructed or unsafe to access. Items and areas not inspected are recorded as such in the report.

Accuracy and amendments

If you believe the report contains an error, tell us within seven days of delivery and we will review it. Where an error is established we will correct and reissue the report at no charge. We cannot amend a report to reflect matters that were not observable at the time of inspection.

Liability

We maintain professional indemnity and public liability insurance. Our liability to you in connection with any report is limited to the fee paid for that report, except where liability cannot lawfully be limited, including death or personal injury caused by negligence, and fraud. We are not liable for indirect or consequential loss, including the outcome of any deposit adjudication.

Intellectual property

Copyright in reports and photographs remains with Hamilton Property Inventory Group. On payment of our fee you receive a licence to use the report and its images for purposes connected with the tenancy it relates to, including submission as evidence to a deposit scheme.
