Inventory with Check In

Inventory with Check In

A full photographic inventory compiled on move-in day, then walked through and signed with the tenant, keys handed over, alarms tested, meters checked.

From £130

Overview

An inventory with check-in combines a detailed property inventory with a formal check-in appointment. Our clerk arrives around two hours before the tenant, compiles the inventory so it reflects conditions at the exact moment of moving in, then meets the tenant to hand over the keys, test the alarms, show the meters and go through the report together. The tenant can type in comments, upload their own photographs and sign the report on the spot, so the tenancy starts on the right foot, with nothing left for you to do.

Benefits

Tenant Sign-Off

The tenant reviews and signs the report on the day, and can add comments and photographs, reducing later disagreement.

Compiled On Move-In Day

The inventory is created the day the tenant moves in, so it is the most accurate reflection of conditions at the start.

3 Hour Turnaround

A digital report follows within 3 hours of the appointment, distributed instantly to tenant, agent and landlord.

N

Keys, Alarms & Meters

We hand over and label the keys, test smoke and CO alarms for function and expiry, and record meter readings on the day.

Boosts Tenant Confidence

A transparent, independent record earns the tenant's trust and gives everyone a shared reference point.

Dispute-Ready Evidence

Clear, impartial observations suitable for DPS, TDS and MyDeposits adjudication.

Why a check-in matters

A professionally completed inventory with check-in establishes condition at the start, protects landlords against unfair damage claims, gives tenants clarity and transparency, and supports deposit protection compliance.

Without a check-in inventory, deposit deductions can be difficult to justify at the end of the tenancy.

How you receive the report

We email you a detailed written report with high-quality photographs within 3 hours of the check-in. Give us the tenant's or any other party's email and they receive a copy instantly.

Everything is done then and there, you don't have to leave it to the tenant to check and sign later, though they can also review, comment and sign online from any device.

No hidden costs

Prices are structured by number of bedrooms and level of furnishing, and we cover furnished, part-furnished and unfurnished properties.

There is no printing or mailing, tenants comment and sign online, and everything is distributed to all parties instantly. Letting agents and larger landlords qualify for discounted rates.

Frequently asked questions

Do I need a check-in inventory?

The check-in is not compulsory, but it gives added security should there be any dispute over the deposit when the tenant moves out. With us everything is done then and there, you don't have to leave it to the tenant to check and sign.

Do tenants need to attend the check-in?

Tenant attendance is recommended but not required. Provided access and instructions are arranged, we complete the check-in independently and the tenant can review the report later, type in comments and sign online on any device.

What if the tenant disagrees with something?

Any disagreement is noted directly in the report alongside our clerk's observation, and the tenant can upload their own photographs, keeping the record balanced.

Can you check the tenant's Right to Rent documents?

Yes. On behalf of the landlord, our clerk can check that the tenant and all other occupants aged 18 or over have the right to live in the United Kingdom, and register copies of their documents.

How long does the appointment take?

The inventory itself is completed before the tenant arrives; the walkthrough and sign-off with the tenant typically takes 30-60 minutes depending on property size.

How quickly will I receive my report?

Typically within 3 hours of the check-in, delivered digitally to every party you name.

Are your reports suitable for deposit disputes?

Yes. Our reports are suitable for use with DPS, TDS and MyDeposits.

Do you offer discounts for letting agents?

Yes. We offer discounted rates to letting agents and landlords with larger portfolios, most clients report savings of around £600 per month per office.
